Dolo Assist ("the Service," "we," "us") is a recruiting-management platform used by college athletic programs to organize scouting notes, recruit profiles, contact logs, and compliance records. This policy explains what we collect, why, and your choices.
We collect: (a) account data for coaches (name, email, password hash, role, institution); (b) recruit data entered by coaches or imported from third-party recruiting databases, which may include a prospect's name, contact details, parent/guardian details, academic information (GPA, test scores, transcripts), athletic evaluations, and scouting notes; (c) usage data such as log entries and timestamps; and (d) files uploaded to recruit profiles.
Many prospects are minors, and some records may constitute "education records." We act as a service provider / processor to the institution. The institution is responsible for having a lawful basis to collect and share prospect information with us, including any FERPA "school official" designation or applicable consents. We do not knowingly collect data directly from children; data is entered by authorized coaching staff. If you believe a minor's data was provided to us improperly, contact us to have it removed.
To provide and maintain the Service, sync with compliance/recruiting tools you authorize, generate scouting summaries (optionally using a third-party AI provider), and secure and improve the product. We do not sell personal information, and we do not use recruit data to serve advertising.
We use infrastructure and service providers to operate (for example: cloud hosting/database; an AI provider for optional note summarization and contact lookup; email delivery). These providers process data on our behalf under their own terms. Data sent to an AI provider is limited to what is needed to perform the requested task.
We retain data for as long as an institution maintains its account, and delete or return it on request or after account termination, subject to legal retention needs. Coaches can delete recruits, notes, calls, visits, and documents within the app.
Passwords are stored hashed. Data is isolated per institution. We use reasonable technical and organizational measures, but no system is perfectly secure.
Depending on your jurisdiction, you or the institution may have rights to access, correct, delete, or export data. Direct requests to the institution's account administrator or to us using the contact below.
We may update this policy and will note the "last updated" date above. Material changes will be communicated to account administrators.
